Studio Assistant
In need of a Studio Assistant for a Professional Artist. This is a part-time permanent/long term position. Must be available at least 10 - 15 hours a week. Must be able to meet in Beverly (60643) at artist’s studio twice a week between 10am to 4pm on Tuesdays and Thursdays. Monday, Wednesday and Friday are remote work days (1-2 hours each day). Must have a car for transportation. A reliable, organized, detail oriented person is required. Must have some experience and skill with using tools, installation, and packing artwork. Must have at least 2 years experience with office/administrative correspondence and responsibilities. Coordinating and working special events is required (4 - 5 events per year). Must have some availability to work the events on the weekends, depending on the event schedule. You do NOT need to be an artist. An interest in the arts is preferred but not required. 1. Agenda
a) Keep track of agenda and calendar daily, weekly meetings, Wednesday email updates of tasks
b) Take daily notes in agenda book
c) Daily correspondence and updates via email or text or zoom calls
d) Send out and organize zoom/google meetings
2. Studio organizing and cleaning
a) Apply wiring and D-rings on back of canvas (must be comfortable using automatic screwdriver, hammer, nails and screws)
b) Re-hang/install artwork and organize materials as needed
c) Pick-up materials from art store
d) Gesso surface/patch wall before open studios
e) Each day in the studio (twice a week), organize artwork, water plants as needed
f) Packing artwork with cardboard, glassine, corners, for shipment/storage
3. Multimedia projects
a) The Studio Space Arts Incubator
b) Managing website
c) Help plan and facilitate events
b) Coordinate contractors
c) Email correspondence (videographer, graphic designer, photographers, producers, dancers etc.)
d) Schedule virtual and in-person meetings
e) Organize preparatory materials for on-going projects
f ) Provide feedback for on-going projects during meetings as needed
g) Provide edits of materials (audio, video, reels, copy, scripts etc.)
4. Presentations (as needed)
a) Prepare on the Drive or PowerPoint
b) Share with team for collaboration of edits
c) Research and prepare into slides for artist
5. Online research
a) Finding articles related to content
b) Organize and manage opportunities/competitions
c) Check email, online competitions posts and relevant art news
d) Add upcoming deadlines to spreadsheets
6. Applications
a) Draft writing samples for grant, competition applications, and requested gallery materials
7. Marketing and branding material
a) Updating Quarterly newsletter (on-going)
b) Inputting new contacts to newsletter contact list
8. Price sheet updates as needed; on-going (guide direct intern/assistant to edit)
9. Website updates (on-going)
a) Correspond with developer, check for any updates (CV, News section, images etc.)
b) Photos, title, dimensions
10. Shopify account updates if needed
11. Social Media updates
a) Create new social media content weeklyb) Must be comfortable using Canva and some Adobe platforms (Photoshop, Acrobat)
12. Photoshoots
a) Assistance of coordinating subjects
b) Email correspondence with participants
c) Providing contracts, copying and filing afterwards
d) Follow-up with participants
e) Hands-on support at photoshoots (carrying equipment)
13. Special Events
a) Must be available for site specific studio/promotional/organization special events (4 - 5 events a year)
b) Help to coordinate schedules, prepare and set-up materials for events
c) On-site unpacking, installation, and re-packing of artwork, promotional materials, unloading and carrying to car
d) Availability for some weekend event dates; and extended in-person studio hours leading up to event (up to 5 events per year)
e) Working/hosting the table for customers
f) Engage with customers, sales of promotional materials (books, posters etc.)
