Operations Administrator

Department: Operations

Reports to: Business Manager

Responsibilities:

  • Ensure that Emerald City spaces are clean, organized and functioning efficiently; make regular inspection walks
  • Coordinate the maintenance and repair of ECT facilities with appropriate landlords and vendors; make small repairs personally when possible
  • Coordinate the maintenance and repair of IT and equipment issues with outsourced IT company
  • Act as the main point person for facility needs during Summer Camp
  • Manage the stock of office and facility supplies; assist in supply orders and manage ink cartridge recycling
  • Maintain the shared use of Emerald City storage spaces
  • Assist in oversight and general maintenance of the company vehicle
  • Maintain logs of company supply and equipment needs for budget planning
  • Act as a facility liaison between ECT and all leased facilities
  • Collect and distribute incoming mail and packages and take outgoing mail to mailbox
  • Assist in workstation set-up for new employees
  • Learn ECT record retention policies and maintain company records accordingly
  • Evaluate current vendors and pricing; recommend new service contracts
  • Assist in data entry and maintenance of human resource platforms including ADP and various benefits portals
  • Assist in any administrative project(s), such as data entry, departmental research or departmental organization projects as time allows as assigned

Required Qualifications and Skills:

  • This position requires standing, walking, bending, kneeling, stooping, crouching, crawling and climbing; must be able to walk and stand for extended periods, climb stairs, and lift at least 40lbs
  • Basic knowledge of computers, programs and common IT issues
  • Must possess a valid driver’s license with a clean driving record; able to drive a vehicle in Chicago
  • Able to multi-task and adhere to deadlines while still responding to immediate company needs with tact, confidence, and humor
  • Proficiency in Microsoft Office Suite (Excel, Outlook, and Word)
  • High energy, positive, “can do” attitude, flexibility, teamwork and high degree of initiative

Compensation:

Compensation will be commensurate with experience and is competitive with prevailing compensation for similar positions within the non-profit performing arts industry. This position is part-time, non-exempt at 20-25 hours per week.
