About the Role:
The International Museum of Surgical Science (IMSS) is seeking a detail-oriented, customer-focused Event Coordinator to join our Event Staff team. This position supports a wide range of museum events—primarily evenings and select daytime programs—by ensuring smooth operations, excellent guest experiences, and building security. This is a part-time, contract role with flexible scheduling based on event needs.
Job Duties and Responsibilities:
Event Booking: Assist the Manager of Events & Programming in responding to event inquiries, conducting client walk-throughs, and coordinating booking logistics.
Event Management: Support event planning by tracking paperwork and licensing, coordinating with vendors, and finalizing day-of details.Event Production: Assist with the planning and execution of Museum Open Houses and special events, including coordinating partner vendors, overseeing equipment and floor plan allocation, managing set-up, and leading event logistics.
Guest Services: Welcome and check in attendees, process ticket sales (via Eventbrite and onsite), provide directions, and offer general customer support.Operations & Support: Work alongside the Site Manager to ensure events run efficiently, addressing on-site issues as they arise.
Event Breakdown & Closing: Assist with post-event cleanup, equipment organization, guest departures, and building security.
Required Qualifications:
Prior experience in events, customer service, or hospitality strongly preferred.Strong interpersonal and communication skills with a professional, welcoming demeanor.Ability to problem-solve and adapt in a fast-paced environment.Flexible availability for evenings and some daytime/weekend shifts.Ability to lift up to 25 lbs and remain on your feet for extended periods.
Preferred Experience
Experience in sales.Experience with social media platforms, including but not limited to the creation of promotional content.Experience in planning and producing private events, such as any aspect of weddings, corporate gatherings, and social celebrations, is highly valued.
Scheduling & Commitment
Approximately 3 days per week, with 8-hour shifts.Primarily on-site, with 1 remote day negotiable as needed.Evening and weekend availability required for private event coverage.
Typical shifts range from 5 to 8 hours, with increased staffing for larger events, such as the IMSS annual fundraising Gala.
