Director's Office Fellowship

We have an opening for a Director’s Office Fellowship opportunity at MCA Chicago. Reporting to the Pritzker Director, the Fellow provides both deep research for curatorial projects on behalf of the Pritzker Director and comprehensive executive administrative support for the Director’s Office. This three-year opportunity offers a firsthand experience to learn what a director of a major art museum does. This position acts as liaison to all levels of internal management and staff, donors, Board members, and other internal and external communities and constituents; and executes all duties discreetly and professionally. To be successful in this role, you must:

Provide administrative support to the Pritzker Director including:Maintaining contact information.Assisting with drafting and/or editing correspondence, handling all incoming mail, email, and phone calls for review by Executive Assistant (EA), and responding when appropriate.Review the Pritzker Director’s daily calendar and anticipate needs.Screen and direct incoming requests in coordination with the EA.Manage subscriptions, memberships, and timely renewals for the Director’s Office.Processing expense reports, credit card reconciliation, invoices, and reimbursements.Manage Director’s holiday cards, labels, and mailing.Provide coverage for the EA as needed during WFH days and PTO. Provide curatorial research and support for Pritzker Director-led projects including:Conduct research on prospective and confirmed acquisitions, gifts, and exhibitions as assigned by the Pritzker DirectorAssist with the creation and maintenance of exhibition checklists for Pritzker-Director led initiatives.Assist with writing and editing of text for correspondence, catalogues, wall labels, and marketing content to ensure accuracy and alignment with Pritzker Director’s vision.Conduct advance research on galleries and exhibitions aligned to the Pritzker Director’s travel schedule; proactively suggest and arrange tours/gallery visits on behalf of the Pritzker Director.Maintain positive, collaborative relationships with people across the organization to ensure success of the Directors Office.Interact and plan with other EAs to ensure seamless operations across the Director’s Office. Coordinate, develop, research, and execute special projects as assigned by Pritzker Director.

QUALIFICATIONS, KNOWLEDGE, SKILLS, AND ABILITIES

Bachelor’s Degree in Art History or Visual Arts or equivalent work experience.Five years of professional administration or office management experience. Proven ability to work independently, with the highest level of discretion and a high level of responsibility regarding executive matters and project management. Strong organizational skills, with proven ability to prioritize and adjust heavy workload, manage a variety of tasks, and meet various deadlines with changing priorities, frequent interruptions, and conflicting deadlines.Proven ability to anticipate needs and proactively act on them using poise and professional judgment in complex situations in a fast-paced environment. Excellent verbal and written communication skills.Ability to work well with all levels of internal management and staff, trustees, and donors. Ability to handle sensitive and confidential matters and information with discretion and maturity.Excellent computer skills including strong proficiency in Microsoft Office. Ability to operate basic office equipment and keyboard required.Ability to fulfill a three-year, full-time appointment.General mobility throughout building required.

This is a full-time position, with a Monday - Friday 9a-5p schedule that may occasionally include evening and weekend availability as required to fulfill responsibilities and for related museum activities.40 hours per week
