Summer Camp Administrative Assistant
Lookingglass Theatre Company in Chicago seeks a temporary part-time Summer Camp Administrative Assistant, May – August 2019, to provide support to Lookingglass’ portfolio of summer camp programs. During May 2019, the position will include approx. 12-15 hours per week of training, preparation, and orientation; these hours are flexible Monday - Friday between 9am-5pm. From June – August 2019, the position will include approx. 20-22 hours a week Monday - Friday, generally starting at 12 or 1pm, until 5pm; in order to provide necessary coverage, these hours are not flexible once camp begins on Monday, June 17. Summer camp programs run through August 23; this position will end the week of August 26. Responsibilities The Administrative Assistant will be responsible for supporting the day-to-day operations of the Lookingglass Curiosity Department’s camp programs throughout summer 2019. A partial list of responsibilities includes: Proofreading, copying, and distributing (in person and by email) communications from the Curiosity Department to summer camp families, including email reminders, newsletters, performance programs, etc. Updating and organizing camper information in electronic and paper forms Answering phone calls, emails, and in-person inquiries from parents and camp families Providing on-site support to camp staff as directed Supporting on-site and administrative interns as needed Videotaping final camp performances As directed, organizing receipts for reconciliation purposes Other duties as assigned Qualifications The ideal candidate will demonstrate the following qualifications: Full commitment to Lookingglass’ mission and core values of invention, transformation, collaboration; this commitment is not only theoretical, but also embodied in day-to-day practice, particularly with regard to operating Lookingglass’ summer camp programs. Demonstrated interest and commitment to arts education, including belief in the importance and relevance of the field. Experience working directly with students preferred. Excellent communication and customer service skills with regard to a variety of constituents, including: students of all ages (K-12), parents and family members of students, teaching artists, and Lookingglass staff members. Ability to provide thorough, timely, and accurate information (via both written and verbal communication) is required. Excellent organization and attention to detail. Experience working with Excel, Outlook, Microsoft, and Google Docs required; experience working with database systems preferred, Total Info a plus. Ability to multi-task. This position requires the ability to work on multiple projects, prioritize information and projects, follow directions, and work independently.
