Project Coordinator

Methods and Materials, a fine art/artifact installation and rigging company, is seeking a new Project Coordinator to join their team.

The Project Coordinator is responsible for all facets of the projects/jobs that the Director of Field Operations, Project Manager, and Field Staff perform. The role is client-facing and an exciting opportunity for an individual looking to be an integral role in fine art and artifact projects.

Primary and expected duties include:

Intake and respond to new project inquiries (email and by phone)Track and update all pertinent information and details regarding new and retained projects

Items will include: accurate dimensions, packaging, hardware, assembly instructions, engineering drawings/documents, pertinent contact information, site access and addresses, and/or logistics instructions

Oversee the Company’s schedule -- all in and out of town work, site visits, and meetings


In addition, the Project Coordinator is responsible for executing all job coordination, which includes:

Managing the project/job schedule for Field Staff and Director of Field OperationsFacilitate communication between M&M staff and engineers, subcontractors, and vendors

Scheduling all pertinent appointments, site visits, travel, jobs, subcontractors, and/or vendors

Execute job-specific comprehensive estimates and proposals

Create, follow, and manage all projects/jobs budgets

Draft logistics proposals, object condition reports, and/or liens

Required Skills3 to 5+ years (preferable) in a similar role of arts administration, logistics, museum studies, and/or installationBachelor’s degree or higher education

Highly detail-oriented and time-efficient

Ability to work in a fast-paced environment

Flexibility to prioritize their workflow to new needs and changing information

Strong communication skills – written and verbal

Ability to oversee several projects at one time and be able to adapt quickly

Maintain a clean and organized workspace (paper filing and digital records)

Proficiency in Google Drive (Docs, Sheets, Forms, Calendar), Microsoft Excel, Quickbooks Online, Adobe Acrobat, Squarespace

Benefits and Salary

This position is a full-time, in-office salaried position at 40 hours a week with six paid holidays, Monday through Friday. Salary is commensurate with experience. Salaried employees are eligible for vacation and paid time off after six continuous months of employment.

Methods and Materials provides a competitive benefits package including health insurance, 401k, and profit-sharing available to full-time employees after a 90 day trial period.
