Production Coordinator: Ruth Page Center for the Arts

JOB SUMMARY: The Production Coordinator is a self-motivated, dynamic team player who manages the production details of the Ruth Page Center for the Arts performances and events, including that of, The Ruth Page School of Dance, The Ruth Page Civic Ballet and its contemporary Company in Residence, Concert Dance, Inc. The Production Coordinator possesses: experience in performance production, both back stage and front of house, preferably in dance. The production coordinator has an understanding of community and professional arts programming, an understanding of team support, time-management and successful interpersonal communication skills. Reporting directly to the Executive & Artistic Director of the Center, the Production Coordinator will be the primary point of contact for Center staff, students, parents, directors and performers with regard to production details. DUTIES AND RESPONSIBILITIES: 1. Coordinate all performance logistics for Ruth Page Center for the Arts, including Ruth Page School Dance Training Program, the Civic Ballet and Concert Dance, Inc. including touring and international performances (The Nutcracker, Cuba y Chicago, Center Stage, Spring Show, Ravinia Festival) and other non-traditional programs and spaces. a. Conduct site visits and production planning for all performance venues b. Attend and document all planning meeting information at venues; including all performance auditions and major rehearsals in order to i. Produce cast list ii. Produce and manage performance contracts and new-hire paperwork iii. Distribute rehearsal schedules iv. Prepare end-of-performance reports c. Coordinate all Designers and Technicians (Set, Lighting, Sound, Video and Costume) for all performances i. Organize ancillary performance production needs (Parents, Volunteers, Box Office, Sponsors, Transportation, etc. ii. Assist with technical/backstage needs during performances d. Point of contact for touring venues and staff 2. Coordinate performance timelines and all performance and resource scheduling 3. Prepare performance timeline a. Attend technical meetings and be present at agreed upon rehearsals. b. Maintain accuracy and circulation of all performance calendars c. Schedule studio, rehearsal, audition space and accompanists as needed 4. Basic understanding of budgeting and how to work within given financial parameters 5. Coordinate organization, maintenance and caring of costuming, props and musical instruments a. Manage costume inventory b. Maintain costume storage ADDITIONAL DUTIES: 6. Performance Outreach a. Research new performance opportunities and venues b. Assist with special performance projects 7. Front Desk a. Fill-in at the front desk as needed b. Prepare production resources for front desk display 8. Administrative Support KNOWLEDGE, SKILLS, AND ABILITIES: 1. Understanding of the theatrical production process 2. Basic technical theater skills - light board and sound operation 3. Backstage and front of house experience 4. Dance Production Experience 5. Clear written and oral Communication 6. Good Organizational Skills 7. Keen attention to detail; 8. Strong computer skills; facility with Microsoft Office Suite and Mindbody 9. Ability to work both individually and as part of a term 10. Ability to prioritize and manage competing priorities 11. Ability to make independent decisions and work well under deadlines, exercising confidentiality, and good judgment 12. Establish positive, generative relationships with teaching faculty, students, parents, directors and performers. REQUIREMENTS: 1. College degree or relevant work experience in theater, arts education or related field required, dance preferred 2. Ability to travel and some early mornings required 3. Willingness to work evening and weekend 4. Experience in non-profit work, preferably with schools and performance programming 5. Willingness to be trained in existing systems
