Operations Manager

The Luminarts Cultural Foundation cultivates Chicago’s vibrant arts community by supporting exemplary young artists through its competitive programs that offer financial awards, artistic opportunities, and mentoring that bridge the gap between education and career.

The Operations Manager is a vital team member who works hand in hand with the Executive Director and Program Director to ensure smooth operations of the organization, including the areas of office management, development support, communications, program support and events.

Key Responsibilities - Administrative

  • Streamline and maintain board documents (onboard packets, minutes, meeting materials etc.)
  • Coordinate, plan, and set up all organizational meetings, events, and quarterly board meetings
  • Develop and maintain organizational calendar
  • Maintain office supply inventory and order office supplies; coordinate storage needs
  • Manage relationships with IT consultants and ULCC, assist staff with all technology-related matters including software purchases and licensing.

  • Make bank deposits
  • Print checks for approval and signature of Executive Director

Marketing/Communications

  • Create and manage e-newsletter, social media accounts and postings
  • Create comprehensive calendar for all communications platforms to ensure consistent and regular postings
  • Work with Executive Director and Program Director to create social media strategy and desired content
  • Oversee organization of promotional materials

Development

  • Raiser's Edge data entry
  • Process gift acknowledgements
  • Maintain gift records
  • Generate segregated donor lists as needed
  • Oversee execution of bi-annual fundraising appeals
  • Explore grant opportunities and collect grant report components
  • Oversee execution of event print needs
  • Event coordination (logistics, contracts, production etc.)
  • Perform monthly ULCC data import to Raiser’s Edge

Programs

  • Create and maintain Fellow and artist contracts as needed
  • Manage program event timeline
