Office Manager | Manual Cinema

Manual Cinema is an interdisciplinary touring company and design studio for theater and film. Currently, we are hiring a part-time Office Manager who will assist the Managing Artistic Director in the organization and upkeep of all aspects of the company’s financial system. Responsibilities include managing and updating the company’s expense tracking system, inputting all financial data into the company’s book-keeping system, paying all company bills and contractors, overseeing and running payroll on a monthly basis, paying all payroll and other taxes on behalf of the company, etc. The Office Manager may also be asked to assist with administrative tasks including generating contracts, creating and up-keeping various organizational touring documents, generating reports, registering company owned intellectual property with the necessary offices, scheduling and presenting at monthly Finance Meetings, etc.

This is a part-time position with the possibility of promotion to full-time. Remote work is negotiable, though some in-office work is expected each week. Candidates must be based in the Chicago area.

Duties and Responsibilities

Collecting and reconciling monthly expense reports;Inputting all financial data into MC’s book-keeping software;Updating and running payroll each month through QuickBooks (QB);Paying payroll tax each month, and filing payroll forms with the state and federal government;Overseeing and updating MC’s cash flow document on an ongoing basis;Following up with clients, agents, and presenters about outstanding payments;Generating project related reimbursement invoices when necessary;Cutting checks for all performers, staff, and designers for all touring and for hire projects;Keeping track of MC’s royalty and residual payments;Archiving all executed agreements in an orderly and easily searchable fashion;Paying all MC bills, monthly expenses, and insurance premiums in a timely manner;Picking up the company’s mail and packages on a weekly basis.

The Office Manager may also be asked to assist with semi-regular projects and duties, including:

Filing company taxes in various states and foreign countries when needed;Generating and distributing end-of-year tax forms (1099 and W-2);Generating financial reports or graphics for presentation at Finance Meetings;Drafting and amending client agreements;Assisting in the generation, editing, and archiving of contracts for performers, designers, and technicians;Creating and maintaining the company Touring Database and Payment Tracking documents;Accompanying the Managing Artistic Director in meetings with agents, presenters, and/or clients.

Professional Development

Manual Cinema may ask the Office Manager to enroll in one class, seminar, or workshop that contributes to the Office Manager’s professional development, to be mutually agreed upon by the Office Manager and MC. Expenses to be paid by the employer.

Manual Cinema may also ask the Office Manager to travel with the company on at least one (1) U.S. tour engagement, and attend at least one (1) U.S. performing arts conference such as APAP or IPAY for educational purposes. Expenses to be paid by the employer.

Understanding or experience with financial or book-keeping software. Proficiency in Microsoft Excel preferred. Experience with Quickbooks is a plus.Interest in non-profit arts administration and/or book-keeping. Experience in arts administration is a plus, but not required.Excellent organization, time management, and attention to detail.Compensation

Part-time salary is $20,800/year + employer-paid health insurance and company benefits.
