National Conference Coordinator

Organization: Dance/USA
Location: Chicago, IL (based) working virtually. Must be in-person for all venue site visits and from June 16-20, 2025
Type: Contract/Temporary (April 2024-August 2025)Hours per week: Maximum of up to 20 hours per week (will increase to full time during the weeks leading up to conference)

Compensation: $30/hr.

Position Overview:
The National Conference Coordinator serves as a local liaison between the Dance/USA national office and the local Host Committee, working towards the manifestation of Dance/USA’s 2025 National Conference in Chicago, IL June 17-20 on a variety of event coordination and planning activities.

High Level Responsibilities Include:

  • Support the Leadership and Learning Specialist in conceptualizing, planning, and executing the Dance/USA 2025 National Conference.
  • Serve as the Host Committee Sub-Committee Lead for volunteers and logistics.
  • Lead coordination and management of local volunteers during the Conference week.
  • Serve as a local contact for venues, conducting site visits to Conference venue(s) when needed.
  • Assist with Conference logistics (venue management, vendor management, records and data management, audio and visual, signage, etc.).
  • Research and vet local vendors with deep consideration and understanding of the National Conference budget and Dance/USA’s core values.
  • Assist with internal and external Host Committee communication and correspondence, as needed.​​Demonstrate a high-level of customer service via all communication channels (email, phone, and in-person).Answer and monitor event-related email inboxes, and support attendees in registering for the National Conference. Draft and adapt National Conference FAQs.
  • Support the Leadership and Learning Specialist in post-Conference wrap up tasks and archiving important documents.
  • Additional responsibilities as assigned.

Qualifications:

  • Background in event management, program planning or stage/production management.
  • A working knowledge of the Chicago dance community and arts venues is required.
  • Exercise independent judgment, adhere to confidentiality, and ability to function with minimal supervision.
  • Must commit to embedding Dance/USA’s core values of creativity, connectivity, equity, and integrity throughout your work.
  • Exemplary attention to detail, diplomacy, interpersonal skills, ability to manage multiple tasks, ability to establish priorities and problem solving capabilities.
  • Experience with Google Suite, Microsoft Office and Zoom.

Schedule:​
April – December 2024: 10-15 hours/week.
January – March 2025: 15-20 hours/week.
April – June 2025: 35+ hours/week.
July – August 2025: 10-15 hours/week.
