Chicago Sinfonietta, a professional orchestra with a mission of equity, diversity and inclusion, seeks a full-time Development Operations Coordinator for immediate hire. Through high artistic standards and a cutting-edge mix of guest artists, Chicago Sinfonietta has been carving its path for over 34 years. Music Director Mei-Ann Chen leads the orchestra to gather diverse talent and sounds from all over the world to redefine what you expect from a symphony. THE OPPORTUNITY

Chicago Sinfonietta is seeking to fill this full-time critical position on its team to further the organization's work championing equity, diversity, and inclusion by creating community through bold symphonic experiences. The Development Operations Coordinator is responsible for supporting the department in its goals of building, executing, and sustaining a robust strategic development plan that enables Chicago Sinfonietta to achieve its philanthropic goals. The primary duties involve the management of the Department’s CRM database (Spektrix) and primary lead on tracking development campaigns and initiatives.

Job Duties and Responsibilities:


Data Entry

  • Oversee and improve Development Department systems and protocols for database administration (Spektrix), financial reporting, fundraising analytics, and general administrative functions.
  • Manage and oversee input of Data Entry through CRM Database for individual, corporate, foundation, and government relations.
  • Assist in the logging of grant deadlines, grant submission dates, and grant reporting
  • Manage and oversee development research and data consolidation
  • Optimize planning and implementation of all Spektrix data management to ensure the department has ready access to comprehensive, accurate, and easily segmented data that enhance fundraising and donor engagement strategies.
  • Responsible for establishing and monitoring annual fundraising goals and the department expense budget, in collaboration with the Director(s) of Development.
  • Documents policies, procedures, and best practices that support data-driven strategy building, as well as efficiency in gift tracking, data management, reporting, and analytics.
  • Generates accurate and sophisticated budgeting and progress-to-goal reporting for staff, executive leadership, and board of directors, in collaboration with the Development Director of Individual Giving Special Events, and Development Director of Corporate, Foundation, & Government Relations.
  • Monitors trends in philanthropy on local, state, and national levels and provides strategic guidance of all fundraising activities.
  • Oversees and streamlines gift processing and acknowledgment processes.
  • Directs multi-year and restricted gift/grant tracking to ensure compliance.

Events

  • Assist with solicitations for auction donations, in-kind donations, and sponsorships
  • Assist with Day-Of preparation and event execution
  • Assist with event follow up and donor communication
  • Work at and/or attend concerts of the orchestra, other fundraising and special events, organizational meetings and retreats as an ambassador of the organization.

Grants

  • Assist in the research of new funding opportunities for general operations and programs
  • Strategize with Development team on approach for prospective funding
  • Responsible for prioritizing and meeting application and reporting deadlines and maintaining the schedule on the Development Department’s Master Calendar
  • Work with the Development Department and other members of the Development Team and Senior Staff to identify projects and needs within the organization to create opportunities for new funding streams
  • Responsible for maintaining records, data and research on a variety of prospective funders and their funding priorities pertaining to grants.
  • Assist in the oversight of proposed grant activities and reporting

Miscellaneous

  • Assist the Development Department in executing institutional policy, procedures, and long-term strategic planning. Attend appropriate finance meetings and its committees as assigned. Represent the Chicago Sinfonietta in the community and industry. 
  • Working with the marketing and box office team, ensure consistent customer-focused service and benefit fulfillment at every touch point. Proof materials to ensure that donor recognition and membership information is accurate in program books, social media, and the website

SUCCESSFUL CANDIDATES WILL POSSESS THE FOLLOWING QUALIFICATIONS:

  • Familiarity with classical music, equity, diversity, & inclusion principles, music education, and the entertainment industry preferred.
  • Availability to work nights and weekends as required.
  • High level of reliability, flexibility, and maturity.
  • Ability to establish credibility with a variety of individuals at all levels.
  • Interpersonal communication skills, with the ability to work with diverse personalities.
  • Ability to organize effectively and work independently.
  • Ability to deal discreetly with patrons, staff, and sensitive information is essential.
  • Ability to deal effectively with a large amount of detail.
