Communications & Operations Associate

Arts Alliance Illinois, a statewide arts advocacy organization, is seeking a permanent part-time Communications and Operations Associate to join our staff. This position will be supporting the technical and logistical needs of our programs, our day-to-day administrative needs, and content creation for our external communications. The ideal candidate is self-motivated, tech savvy, and a quick learner comfortable working independently in a fast-paced environment. Previous experience or knowledge of creative sector organizations in Illinois and a commitment to uphold the Alliance’s values to create an equitable working environment is required.

Hours are flexible but expected to average 15-20 hours a week at a rate of $20 per hour. Ultimately, the Alliance hopes to see this role grow into a full time position, but given the current environment needs to start with a part time opportunity.

Responsibilities

Content

  • Manage Arts Alliance Illinois’ social media channels; create content, monitor engagement, amplify its presence.

  • Collaborate in the creation of weekly newsletter and periodic membership emails.

  • Take on additional roles in programs based interest and need, as our programmatic focus progresses over time.

  • Summarize feedback into actionable points to improve our programmatic offerings.

  • Produce/condense sector research for internal use as needed.

Technical

  • Support the design and implementation of program evaluation.

  • Set up/manage registrations for events and follow-up surveys.

  • Upload and edit content to websites managed by Arts Alliance Illinois.

  • Segment and update lists for email campaigns.

  • Produce social media graphics for distribution.

Operations

  • Coordinate meetings virtually or in person when allowed (ex: scheduling, confirming attendees, note-taking, set up/clean up, etc).

  • Coordinate event logistics as appropriate for the venue/environment (ex: troubleshooting technology, coordinating vendors, payment follow-up).

  • Support the accuracy and timeliness of bi-weekly donation cycles including check processing and acknowledgment letters.

  • Support other day-to-day administrative tasks as assigned.

Skills Needed

  • Methodical and detail-oriented.

  • Strong oral and written communication skills.

  • Systems savvy and comfortable in databases.

  • Quick learner of new processes and platforms.

  • Ability to adapt to changing priorities and deadlines.

  • Graphic design skills preferred but not required.

  • Some understanding of Illinois arts sector preferred

  • Ability to distill information into concise and easy to understand talking points.

  • Experience with Jotform, Asana, Slack, Salesforce, GSuite preferred but not required.

Arts Alliance Illinois is working remotely due to the current health crisis, so reliable internet access and a computer is required. To accommodate this need, a $25 monthly internet stipend is provided for this position. As Cook County reopens we expect some in-person work at our Chicago office to partially resume, although we are open to candidates from across Illinois.

The Alliance provides paid sick leave for this position in compliance with the City of Chicago’s Paid Sick Leave ordinance. We also provide paid family leave for part time employees after 6 months of employment (4 weeks at 100% rate, 4 weeks at 50%) to bond with a new child, address personal medical needs, or care for family experiencing medical needs. No health benefits are included for this position.
