Choral and Jazz Coordinator, Registrar

Full-time administrative position, coordinating MYAC’s Orchestra, and Chamber Music Programs as well as being the primary database and records support staff member for the organization. Working with the President, this person is responsible for the timely and accurate keeping of all student and organizational records. · This position is responsible for all enrollments in MYAC - Maintain accurate and up to date enrollment records. · Enter all registration information for classes, ensembles, festivals and competitions completely and accurately into contact management system - Handle all Intent Forms and transitions of records from one year to the next. · Be primary point of contact for integrity and maintenance of student information · Be primary point of contact for Access database, with knowledge of SQL, and report writing · Take lead, working with President and Ensemble Directors, to plan each season so that MYAC has a musical, educational, social mix of concerts, outreach programs, and other activities. · Manage program/ensemble scheduling, ensuring that activities do not conflict and that all program calendars are updated. · Build positive relationships with MYAC families and students. Deliver outstanding, friendly customer service. Respond to parent/student questions and concerns. · Consistent communication with parents and students of information/updates related to programs, rehearsals, performances, and other relevant information. · Work with accounting with regard to all student billing - Provide Bookkeeper with attendance lists so that accurate invoices go out. · Process financial aid applications and communicate results to families and bookkeeping so adjustments to invoices can be made. · Keep accurate records of attendance for all programs and communicate absences to members/families/directors of all ensembles. · Take leadership role in recruitment efforts for all programs. · Provide input to Marketing and Development as well as general staff into marketing and development materials. · Maintain active communications and cultivate relationships with MYAC faculty, private music teachers and school music directors. · Maintain and manage YouTube channel and cloud storage of performance video/audio recordings. · Work closely with leadership to meet annual goals of MYAC’s Strategic Plan. · Setup/breakdown equipment for weekly rehearsals. · Maintain a large Music Library for Choral and Jazz Programs in basement. · Have a pulse on database and records health of the organization. Proactively develop recommendations and suggestions for how to improve quality of experience for students in the program · Arrange for transportation of all equipment and music to and from concert locations for performances. · Utilize and manage work-study students to assist in above responsibilities. · Help recruit, train, manage, and retain a large parent volunteer force to assist MYAC staff. · Assist in the continued development of alumni engagement
