Bookkeeper

Under the direction of the Managing Director, this position is responsible for performing a variety of daily accounting duties and supporting monthly closing process. They audit cash receipts, prepare bank deposits, and enter all data in QuickBooks and Excel spread sheets. This position is accountable for timely processing of payroll, financial record keeping, and A/P, A/R, as well as monthly general ledger postings. They work closely with the Managing Director to achieve all required accounting and government standards, organizational and funder deadlines, and company’s objectives and mission. Lifeline seeks an individual with advanced experience with QuickBooks, experience working in the nonprofit setting, strong organizational and time management skills, acute attention to detail and ability to work well with Lifeline’s staff and board.

Responsibilities:

  • Manage all aspects of day to day bookkeeping and accounting processes including but not limited to: A/P, A/R, payroll, journal entries, and bank reconciliation
  • Prepare Journal Entries for expense allocations, deferred revenue, fixed assets and payroll cash accounts
  • Process and pay all invoices in a timely manner; ensures that all expenditures are appropriately categorized
  • Receive and deposit all organizational revenue. Audits cash receipts, donations and other payments; ensures that all deposits are appropriately categorized
  • Reconciles bank accounts and credit card statement and provides reports to Managing Director and Treasurer monthly; keeps clear records of all account activity and alerts Managing Director of any discrepancies or essential actions in a timely manner
  • Execute payroll activities using Quickbooks
  • Perform annual 1099 and W2 reporting process
  • Assuring the accurate coding of all entries based on non-profit fund accounting
  • Prepare monthly financial reports, including standard financial reports, budget vs. actual reports and grant-specific financial reports
  • Works closely with the Managing Director to ensure accounting accuracy on restricted accounts
  • Coordinate with outside Auditors in preparation of year-end audit
  • Maintain accounting procedures and policies and systems of internal controls to ensure the integrity of all financial systems
  • Demonstrates a high level of professionalism in dealing with confidential and sensitive issues
  • Assists in the development and implementation of systems and procedures as needed

Qualifications

  • Advanced proficiency in QuickBooks a must
  • Non-profit/restricted account experience a plus
  • Associate’s degree or equivalent with 3-5 years related experience or combination of education and experience
  • Additional proficiencies in Excel and database management
  • Strong organizational, problem-solving and analytical skills: ability to manage priorities and workflow
  • Ability to deal effectively with a diversity of individual at all organizational levels
  • Superior attention to detail and integrity
  • Good judgment, with the ability to make timely and sound decisions
  • Understanding of and commitment to Lifeline’s mission

Annual salary: $17,680, 20 hours per week; specific office hours TBD
