Assistant Production Coordinator - Ravinia Festival

Ravinia is both North America’s longest-running music festival and its most artistically diverse. Over 100 different events by a mix of classical, rock, pop, jazz, R&B, indie, and country performers make up a typical summer season on our two open-air and two indoor stages. Each year the Chicago Symphony Orchestra is featured in six weeks of concerts, many with Chief Conductor Marin Alsop. During the same summer months, the Ravinia Steans Music Institute provides young professional classical and jazz musicians with career-advancing training and concert settings. Offstage and year-round, Ravinia’s Reach Teach Play education programs engage 75,000 children and adults—in schools with little to no music curriculum, in our Chicagoland communities, and at our 36-acre park—in our mission to make music equitably accessible to all.

Ravinia is seeking a team of Assistant Production Coordinators to assist in the coordination and execution of all non-technical backstage operations for the 2022 summer season. Coordinators play an integral role in the building of the department’s daily schedule and are vital to the day-to-day operations backstage at Ravinia. These positions are highly coveted and past employees have gone on to obtain full-time employment within major arts organizations. Dates of Employment

General Responsibilities

Shared responsibility acting as main receptionist / dispatch for the Production departmentShared responsibility in creating and maintaining the master operations schedule for the Production departmentAids in the management of day to day backstage operationsOversight of the department’s Production AssistantsCreation of dressing room forms, shopping lists, and other organizational paperwork for artist hospitalityLeads day-of-show artist hospitality and dressing room set-up with the aid of department staffHelps oversee department transportation (including artist ground transportation and errands) With the Classical Coordinator, creates run-of-show schedules for non-Chicago Symphony Orchestra classical performancesShared responsibility in maintaining Production department inventoriesAssists with kids concert series performances and dance shows, as neededAssists with Chicago Symphony Orchestra, Bennett Gordon Hall and Martin Theatre performances, as neededAids in the daily organization and coding of department purchase receiptsAssists with the driving of artists and errands, as neededOther duties as assignedIdeal candidates will offer some of the following skills/experience:

Background in hospitality, event planning, or concert productionExperience supervising staffFamiliarity with Microsoft Excel and Google WorkspaceExcellent attention to detail and organizational skillsExcellent verbal and written communication skillsCreative problem-solving and ability to multi-task in a fast-paced environmentAbility to be on your feet for extended periods of timeAbility to work outside of normal business hours (position requires extensive early mornings, nights and weekends)Familiarity with classical musicForeign language speakers are encouraged to applyAcceptable driving record****Driving Record Requirements to Operate Ravinia Fleet Vehicles

Drivers must be age 19+Record must be free of any violation for speeding in excess of 19 mph over the speed limit within the last 3 yearsRecord must be free of multiple speeding violations (of any severity) within the last 3 yearsRecord must be free of any at-fault accident violations within the last 5 yearsRavinia reserves the right to extend requirements beyond those noted above.Compensation

Paid hourly late-May through early June. Weekly salaried (exempt) mid-June through mid-September. Forty to sixty hours per week based on concert schedule. Some meals provided. Monthly cell phone stipend.
