Position Summary

The Advancement Coordinator supports all Advancement department fundraising efforts, with an emphasis on individual giving. As a proactive member of the team, the Advancement Coordinator plays a key role in implementing all departmental procedures, maintains donor database and contribution records, understands fundraising objectives and provides department support accordingly.

Primary Duties and Responsibilities

  • Directly responsible for all aspects of gift entry, processing and preferred donor recognition; maintains and updates donor records for continued accuracy and responsible for ongoing database integrity.
  • Maintains orderly file systems for all donors, which includes filing electronic solicitation letters, gift correspondence and copies of checks, and general correspondence.
  • Produces weekly financial reports for Advancement Department.
  • Works with Finance department to reconcile contributed income on a monthly basis, execute year-end statements for both the calendar and fiscal year, and ensure an accurate annual audit.
  • Tracks department expenses being paid through credit cards, check request, company account, etc.
  • Regular interaction with donors and Trustees, including answering questions and providing assistance through the Advancement department's general phone line and email, as well as in-person at special events.
  • Serves as secondary ticket concierge for VIPs along with Manager of Individual Giving & Donor Relations by fulfilling house seat orders and ensuring the best possible service for Trustees and major donors.
  • Coordinates and maintains inventory of all Advancement department print materials such as event invitations, print publications, thank-you notes, letterhead, envelopes, folders, etc.
  • Coordinates the departmental routing of content for institutional magazine (The Brief Chronicle) and program book for every production, compiling edits and input from all parties.
  • Coordinates and reviews the departmental routing of content for specific pages of the website, taking edits and input from all parties and making appropriate website updates on a monthly basis.
  • Provides support to solicitation mailings for the Director's Society and the Annual Fund.
  • Assists with events as needed, including day-of support. Some evening and weekend attendance and/or participation is required throughout the year for Board meetings, special events, artistic programs and productions.
  • Supports the department by creating agendas for departmental meetings, scheduling meetings, taking minutes, distributing itineraries and other duties as assigned.

Qualifications

  • 1-2 years of fundraising or office experience, arts or nonprofit preferred.
  • Strong interest in and passion for live theatre.
  • Flexibility, creativity and poise under pressure.
  • Superior organizational and time management skills.
  • Excellent written and verbal communication skills.
  • Ability to correctly assess priorities and meet deadlines.
  • Must be able to remain in a stationary position for periods of time while working at a computer, as well as move about inside the office and theatre buildings to access necessary materials and equipment.
  • Must be able to exchange accurate information both written and in-person with internal and external stakeholders.
  • Must be able to assess, identify, and make decisions about physical materials.
