Administrative Assistant

The Chicago Mosaic School (CMS) is the only non-profit center of education for Mosaic Arts in the United States. We offer classes, workshops, and unique opportunities to work with world-renowned international mosaic artists. CMS works with community outreach programs and CPS school projects from elementary through high school levels. Within the school is the Gallery of Contemporary Mosaics (GoCM), which is geared towards exhibiting contemporary works by national and international artists.

CMS is looking for a full-time Administrative Assistant who understands the importance of proficient administration, is skilled in social media marketing, interested in learning about arts, education, and nonprofit management. The position and training would begin in ASAP (exact start dates flexible).

Skills and Qualifications:

Bachelors Degree

At lease 2 years of administrative experience

Attention to detail

Proficiency in PayPal, Microsoft Office, FileMaker Pro, Constant Contact, Wordpress

Calendar management experience

Excellent customer service skills; approachable and enthusiastic

Corresponding professionally and enthusiastically with international artists, students, faculty, and other administrators via email, phone, and in person.

Ability to learn office-specific protocol

Values office’s role in an organization

Experience or demonstrated interest in nonprofit management

Responsibilities include:

Managing the Social Media Accounts for CMS

Answering daily emails and phone calls. Greeting visitors, answering their questions regarding but not limited to: The Chicago Mosaic School (classes, workshops, and events), the Certification Program, Gallery of Contemporary Mosaics, etc.

Processing class and workshop enrollments

Processing art and shoppe sales

Planning, preparing, and scheduling for gallery receptions, lectures, fundraisers, staff meetings, and private events

Scheduling and staffing of classes and events

Data entry and filing

Attending opening receptions and special events

Other duties as assigned

Work alongside Administrative Arts Director and Executive Director to plan and execute marketing plans
