Accounting and Payroll Coordinator - Full time with benefits! Recent grads encouraged to apply!

Position summary

The Accounting and Payroll Coordinator is an integral part of Chicago Philharmonic’s operations. Under direct supervision of the Director of Finance & Institutional Giving and guidance of the Philharmonic’s contract Accountant they will be charged with maintaining and improving the Philharmonic’s financial and payroll systems.

Duties and responsibilities


  • Record transactions in accounting system
  • Maintain and update general ledger and other financial records
  • Manage day-to-day banking needs
  • Manage accounts payable and receivable
  • Reconcile bank accounts and credit cards
  • Manage accounts payable, oversee staff credit card and payment request processes; process payments once approved
  • Assist Accountant with annual audit
  • Maintain and make entries in cash projection worksheets
  • Assist Director of Finance & Institutional Giving in the development and implementation of effective internal control processes; enforce internal controls
  • Create ad-hoc financial reports as requested
  • Maintain fixed asset records
  • Prepare Amusement Tax Exemption applications and post-event reports


  • Process musician and administration payroll in ADP based on inputs provided by Director of Finance & Institutional Giving
  • Enter payroll transactions accurately in accounting system
  • Enroll new employees in payroll and answer payroll questions
  • Assist in finding ways to improve payroll processes
  • Manage administration of PTO, health insurance, and retirement benefits
  • Submit all required payroll reporting to federal and state authorities
  • Work with unemployment processing firm to provide information to state unemployment agencies

Knowledge, skills, and abilities

  • 2+ years bookkeeping and/or payroll experience preferred, but recent graduates are encouraged to apply
  • 2 year or higher degree in accounting, finance, or business preferred
  • Willingness to learn and grow in the position is key and will be considered on an equal basis as formal experience
  • Immaculate attention to detail is essential and is the most important trait
  • Willingness to take and accurately follow direction
  • Proficiency in Microsoft Excel and Google Sheets
  • Understanding of U.S. GAAP
  • Understanding of or willingness to learn federal and state payroll regulations
  • Experience working with QuickBooks Online and ADP Workforce Now preferred
  • Excellent verbal and written communication skills
  • Ability to promote and maintain a positive work environment and build strong and effective internal and external relationships
